Building a Clear Workflow With a Virtual Medical Scribe

Set documentation boundaries, review responsibilities and turnaround expectations before adding virtual scribe support.

Agree on how information reaches the scribe

A scribe workflow should begin with the provider’s actual documentation needs. Confirm whether support will be live or asynchronous, which templates will be used and how information will be shared.

Do not assume that encounters will be recorded. Consent, access and recording arrangements must be addressed through the practice’s approved process before work begins.

Keep drafts separate from final records

Scribe support organizes information supplied through the agreed workflow. It does not replace the provider’s clinical judgment. Unclear details should be returned for clarification rather than filled in by assumption.

The treating provider reviews the draft, corrects inaccuracies, adds necessary clinical content and authenticates the final record. A draft should never be treated as finished simply because it appears in the chart.

Define turnaround and corrections

Set expectations for when drafts will be ready and how the provider will request revisions. A shared queue can distinguish notes awaiting a draft, notes awaiting review and notes returned for correction.

Identify a contact for urgent administrative issues. If the same correction appears repeatedly, improve the template or handoff rather than correcting it individually forever.

Assess the workflow in practice

Review whether drafts are useful, whether information is accurate and whether the provider can complete review reliably. A process that creates a large review backlog may need a different scope or schedule.

Care Tribune can discuss scribe support around your specialty, EHR and documentation process. Provider review and clear clinical boundaries remain central to the arrangement.
